Accreditation

Who needs Games’ Accreditation?

If you need to enter the Games facilities, then you will require accreditation. All athletes, broadcast crew, media, photographers, officials and volunteers will need to acquire accreditation prior to the Games.

Accreditation can be completed online by visiting the Oceania Sports website www.oceaniasport.com and entering in your country specific username and password.

ATHLETE ENTRIES AND ACCREDITATION

All Participating Games Associations, PGAs, must comply with the athlete entry requirements as specified in the Pacific Games Council Charter, principally Protocol 7 and Article 25.

Athlete Entries

The process PGAs need to follow for actually entering their athletes is contained at www.oceaniasport.com.

Entry by Name (Protocol 7.10 - 7.17)

Fully completed Entry by Name Forms for each potential competitor must be received from PGAs at least 90 days before the opening of the Games which is 27 May 2007.

PGAs should note the provision of Protocol 7.9, which can impose a $US1,000 penalty on a PGA for each sport where they have no competitors “despite having entered numerical entries” for that sport twelve months prior to the Games.

Final Entries (Protocol 7.18 -7.23)

The names of competitors finally entered for each event shall be confirmed to SPGOC at each PGA’s Delegation Registration Meeting (DRM) at least 48 hours prior to the official opening of the Games.

Only those competitors whose names appear on the individual entry forms shall be eligible for final confirmation of participation.

When a competitor is injured after being included in the Final Entries Forms, a substitute may be nominated on production of a medical certificate established by the doctor designated by SPGOC provided this nomination is made before midnight preceding the opening event of the tournament in which the injured competitor would have taken part.  The substitute’s name must have been entered in the Individual Entries Forms of that sport.

The PGC’s Executive Board may require SPGOC to reject an entry, which does not comply with the requirements of the Charter, or for any other good or sufficient reason. 

A minimum US$1,000 penalty and/or loss of voting rights at PGC annual meetings may be levied against the offending PGA.

Maximum Entries

The maximum number of participants for each PGA per Sport is contained in the Charter; Regulation 6 (Individual Sports) and Regulation 7 (Team Sports).

Eligibility

All athletes wishing to compete in the South Pacific Games must comply with current requirements for representing a PGA in the Games as per Article 25.1 of the Charter.

Accreditation for Athletes and Team Officials

SPGOC will allow PGAs to accredit as many team officials and VIPs as are allowed under Regulations 9 and 10.5 of the PGC Charter.

Access entitlements for PGA athletes, team officials and VIPs will be granted in accordance with Regulation 11.

As per Section 3.1 above, the final date for the selection of athletes is 27 May 2007.  All Team Official and VIP accreditation applications should also be lodged by this date.

The steps for actually accrediting all athletes and team officials/VIPs to participate in the Games are as follows:

1. Go to www.oceaniasport.com and enter your PGA's database username and password.

2. Log in, using the "Membership Database" box.

3. On the next screen, on the left-hand menu, click on “Associations”.  You will see a list of all associations (sports federations) that your PGA has.

4.  Click on the association of which you want to view members or add a member.

5.  On the next screen, on the left-hand menu, click on "Members".  You will see a list of all members already in the database for that sport.  Print this list out so that you don't attempt to enter the same athlete again.

To Add A New Member:

6.  Look for the icon at the top right which looks like a person's head and shoulders with a plus sign “+ “ on it.  Click this.

7.  Fill in as many data of the following data fields as possible, then, click on "Update Member" at the bottom of the screen:  

      FULL NAME

      DATE OF BIRTH

      PLACE OF BIRTH

      GENDER

      PASSPORT NATIONALITY

      PASSPORT NUMBER

      PASSPORT EXPIRY DATE

8.  Take digital photos of the people you want to select for the Games.  To upload a photo to a person's file, click on the "Add Photo" link.  Browse for the photo on your computer, and click "Upload New".  Photos must be no more than 300kb in size.  This means that they should be reduced if necessary to 640 x 480 pixels. 

Repeat this process for all people who are not already in your country's member database.  To this point, all you have done is to add people to your country's member database. 

To Select A Participant For The 2007 South Pacific Games:

9.  Select a member by following steps 3, 4, and 5, above.

10. On the left-hand menu, click on "Selections".

11.  From the drop-down box at the bottom, choose "2007 South Pacific Games", and select the member for this event.

12.  Select the accreditation type (e.g. Athlete, Coach, Team Manager, Media), select the sport, and enter the arrival and departure date information.  You can select an athlete as a "reserve" if the team has not yet been finalized.  

You must click the "Approve for This Event" box for this selection to be valid.

Repeat steps 9 through 12 for each athlete, coach, official, VIP and other person for whom you request accreditation for the Games.

To facilitate a smoother and more transparent process of reviewing eligibility cases, the Charter has adopted the following steps outlined in Articles 25.5-25.8:

Deadline for PGAs to raise Athlete Eligibility challenges

Disputes Tribunal to resolve all Eligibility disputes within 25 days of receiving a challenge and SPGOC to post final confirmed PGA Entries on this website and the PGC website

25 days to go
